TNC Regulatory Requirements-Reporting and Record Keeping

Water Quality Test Reports

Monitoring test results must be submitted to the WSD within (1) the first ten days following the month the result is received, or (2) the first ten days following the end of the required monitoring period, whichever is sooner.

The system shall notify the WSD immediately (no later than 24 hrs) upon learning of any test result equal to or greater than the maximum contaminant level (MCL) or maximum residual disinfection level (MRDL).

Annual Reports

All TNCs must submit an annual report to the WSD. The purpose of the report is to make sure that system information (e.g., water sources, treatment, certified operator, and administrative contacts) reported to the WSD is current. The report must be submitted on a form provided by the WSD.

Monthly Reports

Systems using a chemical additive (e.g., chlorine to continuously disinfect) or a surface water or ground water source under the direct influence of surface water (GWUDI) filtering the water must submit monthly reports. The reports must be submitted on a form provided by the WSD (see below). The reports include information regarding the daily operation of the system, such as the chlorine residual entering the distribution system.

Record Keeping

The following should be retained on the system premises, or at a location convenient to the premises:

  • Records of bacteriological analysis for at least five years;
  • Records of chemical analyses for at least ten years;
  • Records of actions to correct violations for at least three years after the last action taken with respect to the particular violation involved;
  • Copies of written reports, summaries, or communications relating to sanitary surveys for at least ten years after completion of the sanitary survey involved;
  • Copies of public notices issued and certifications made for at least three years after issuance.
